10 reasons why your association needs a member administration system

Excel is grinding to a halt, membership fees go uncollected and the board is drowning in admin. Sound familiar? Here are ten concrete reasons to switch to a proper membership and administration system.

1

Your member list is always up to date

Loose Excel files go stale, get scattered across multiple laptops and fill up with duplicate rows. With one central member administration everyone works with the same, current data — each board member with the permissions that fit their role.

2

Membership fees come in by themselves

No more individual payment requests, and no more chasing late payers. Members pay online with iDEAL or by direct debit, and anyone who hasn't paid yet automatically receives a reminder.

3

Your board saves hours every month

Sending invoices, tracking payments, processing address changes, emailing groups: most of it happens automatically. The treasurer and secretary get time back for the association itself.

4

Built to comply with the GDPR

Personal data must be stored with care. A good system takes care of secure storage, consent, access and deletion — so your association works privacy-proof by default, without legal puzzling.

5

Grip on member turnover and growth

How many members joined, how many cancelled or passed away? The annual figures lay it out, so you arrive at the general meeting with the numbers ready.

6

Board transitions without chaos

Who was treasurer again in 2022? A system tracks positions with start and end dates and keeps the full history, so a handover goes smoothly and nothing gets lost.

7

Members manage their own details

Through a member portal, members log in themselves to update their details and to view and pay their invoices. That saves the board work and keeps the data current all by itself.

8

Events and registrations without hassle

From club night to course: create an event, share one link, and the registrations and payments come in automatically. You see in real time who is coming and who has already paid.

Financial overview and a digital audit committee

Match bank statements, generate annual figures and let the audit committee review and grant discharge digitally — all in one place. No more shoebox full of receipts.

Why a package, and not just a spreadsheet

Almost every association starts with a spreadsheet, and for the first thirty members that works fine. It only goes wrong the moment something changes, and something always changes.

  • A spreadsheet does not know who has paid

Your bank statement and your member list are two separate files. Someone has to lay them side by side, every quarter again. That is the work treasurers give up on, and it is exactly the work a package takes away.

  • There is always one version too many

The secretary emails the list to the treasurer, who changes something in it, and now there is a second truth. At a change of board nobody remembers which file is the real one.

  • The GDPR sets requirements a file cannot meet

Your members' personal data does not belong in the mailboxes of four board members. Who may see what, who changed what and how long you keep it cannot be arranged in a spreadsheet.

  • Members cannot do anything themselves

Every move, every new email address and every cancellation lands with a volunteer who has to retype it. In a package the member does that, and then it is right the first time.

  • It collapses the moment that one person stops

In many associations the member administration lives in the head and the laptop of one person. When they stop, their successor does not start at zero but below it.

The counter-argument is the price, and that is a real argument. But work it out: a package of €179 per year costs you €15 a month. At a hundred and fifty members that is €1.19 per member per year. The question is not whether you can spare that, but whether the evenings your treasurer spends on it are worth less.
