What is membership administration?
Membership administration is where you record who is a member, how to reach them, since when they joined and what they pay. At most clubs it started as a spreadsheet on the secretary's laptop, with a second copy at the treasurer and a third in the membership officer's mailbox.
That works until somebody moves house, resigns or fails to pay. Then it turns out nobody knows which copy is right. A membership system solves that by making one version the whole board can reach, with per-role control over who sees what.

Member management, membership system or membership package?
These all mean the same thing. Anyone searching runs into half a dozen words for one thing and reasonably wonders whether they are looking at the same kind of software. Here is what people usually mean.
Member management
Often used by sports clubs and youth organisations. The emphasis is on tracking who takes part and in which group or team, slightly less on the money.
Membership administration system
The same thing, phrased the way a board says it in a meeting. Usually it means an online system that several board members can reach.
Membership administration package
People typing this are comparing options and want to know what is included and what it costs. Check whether collecting dues and the accounts are part of it or cost extra.
Membership administration software
It used to mean a program you installed, now it is almost always something in the browser. For a club that difference matters more than you would think, see below.
Online member management
The emphasis is on it not living on one computer. For a board that partly changes every year, that is the most important feature.
Outsourcing membership administration
Handing the work to someone outside the club. Often the real wish is not outsourcing but less retyping, and a system where members update themselves solves that too.

What membership software needs to do for an association
Software for a company is about customers coming and going. An association asks something else: the board changes, the work is voluntary, and the people doing it are there a few evenings a month. A programme that is not built for that gets traded back for a spreadsheet after one treasurer.
So a membership administration package for associations needs more than a list of names. This is what separates software that gets abandoned from software that takes work off the board's hands.
Members update their own details
A change of address the member enters themselves is one nobody has to retype. It is the only way a few hundred records stay current without someone working on it full time.

Outsource your membership administration, or do it yourself?
Boards face this choice every year, usually the moment the secretary steps down and nobody wants to take it over. An administration office takes the work off your hands for an amount per member per year. That is a real option, but it solves less than it promises.
What you outsource is the data entry. What you do not outsource is keeping it current: someone still has to report that a member has moved, that there are six new members and that someone has resigned. In practice that information goes back and forth by email, leaving you one intermediary richer and one live overview poorer. Looking something up means asking instead of looking.
The reason the work felt heavy was usually not the volume but the method: a spreadsheet updated by hand, invoices sitting loose in a word processor, and reminders someone has to chase personally. Once that runs automatically, half an hour a month is left, and then whether to outsource is a different question than it was a year ago.
Outsourcing remains sensible if there is nobody on the board willing to do this, or for an association large enough that it becomes a job. Do ask whether you keep access to the system holding your members. A membership list that lives only at the service provider makes switching expensive later.
Membership administration and bookkeeping
These are two different things that are joined at the hip in an association. Membership administration answers who is a member, bookkeeping answers where the money comes from and goes. The join is the dues: every member is a debtor, and every payment is an entry.
Keep them separate and the manual work sits exactly on that join. You create invoices in one system, record the payments in the other, and at year end the numbers do not match because someone resigned in between. For most associations that is the only place where the administration genuinely costs time.
Bookkeeping software alone is therefore rarely enough: it does not know your members and cannot tell who owes dues. Conversely, membership administration without a financial side tells you who is a member but not who has paid. For most associations one system doing both beats two good systems side by side, precisely because the retyping falls away.
If your treasurer has worked happily with a bookkeeping package for years, it does not have to go. Do make sure the dues originate on the membership side and reach the bookkeeping as a single entry, rather than having someone retype two hundred invoices.
By type of association
The basics are the same everywhere, but where the time goes differs by type of association.
Sports clubs
Many members, many juniors, and dues that vary by age group. Most of the work sits in the turnover at the start of the season and in families with several children enrolled. Watch out for family discounts and members joining mid-season: that is where a system either helps or gets in the way.
Music and cultural associations
Smaller in number, but with more kinds of membership side by side: playing members, resting members, donors and honorary members, often each with their own amount. Plus instruments or costumes on loan that you want back when someone resigns.
Neighbourhood and residents' associations
Low dues, many households and little board time. What counts here is that collecting does not become evening work: ten or fifteen euros is not worth chasing by phone, so direct debit or a payment link saves the most here.
Hobby and interest associations
Members spread across the country, few physical gatherings, and often a magazine or newsletter as the main tie to the association. The mailing list then matters as much as the membership list, and those two should use the same addresses.
Homeowners' and management associations
Not members but units, with a contribution per apartment right and a reserve fund the law sets requirements for. The administration resembles that of an association but the concepts differ; expect an ordinary membership package not to fit without adjustment.

Our servers are in Europe and backups run daily. You decide per board role who sees which data, and a data processing agreement is available to download. Members can view and change their own details.
Is this suitable for a small club?
Yes. The smallest plan is meant for clubs up to fifty members. With a small board it helps most that members keep their own details current and that dues are collected automatically.
What is the difference between membership software and a membership package?
Nothing. They are two words for the same thing: a programme where you record who is a member and what they pay. People typing "package" are usually comparing price and contents, people typing "software" more often look at what it can do. When comparing, check whether collecting fees is included or costs extra.
Do I have to install membership software?
No. Ledenboek runs in the browser, so nothing sits on a computer. That matters more for an association than for a company, because a programme on the secretary's laptop does not move along when the board changes. That is the most common way associations lose their membership list.
