What custom development involves
A member portal is not a website with a login screen. It holds user administration, password recovery, permissions per role, a payment provider integration, invoices, and a data processing agreement for the personal data you record. That is the build. Then the maintenance starts: security updates, a payment provider changing its integration, legislation that shifts, and someone reachable when the portal fails on the evening of the general meeting.

How secure is a member portal?
A member portal holds names, addresses, dates of birth, bank details and sometimes health or membership data. That makes it processing of personal data under the GDPR, which brings a number of requirements you do not have to invent yourself but do have to have in place.
Who sees what
A member sees their own data and nothing of anyone else. A board member sees more, but not automatically everything: the treasurer needs the finances and not necessarily the special categories of data, and a committee member only needs their own committee. Permissions per role are not a luxury but the core reason a portal is safer than the shared file it replaces.
Logging in and passwords
Passwords should be stored encrypted, so that the supplier cannot read them either. Two-factor authentication is available for board members: a second code alongside the password, so that a leaked password alone is not enough. That matters most for the accounts that can reach the entire membership list.
What the GDPR asks of your association
Your association is the data controller for your members' data. That means you must be able to explain which data you record and why, that a member may inspect and correct it, and that you delete it once it is no longer needed. With the party supplying the portal you sign a data processing agreement. Data that stays within the European Union also saves you the discussion about transfers to countries outside it.
And if something does go wrong
A data breach must be reported to the supervisory authority within 72 hours. That only works if someone notices. A portal that records who logged in when and what was changed gives you that information. A shared file on a private laptop does not, which is precisely why a breach there often goes unnoticed for years.
