What they cost, who they were built for and where they fall short. Ours included.

Being straight about this list

We make Ledenboek, and it is on this list. Read it with that in mind. For that reason we did two things: we do not rank the packages from best to worst, and for every package we state what it does not do, ours included.

"Best" does not exist. A hockey club of six hundred playing in a league needs something different from a choir of forty singers. A student association with its own website and paid board members needs something else again. What we can do is write down who each package was built for, so you either recognise yourself in it or you do not.

Prices are taken from the providers' public websites and checked on 4 August 2026. If something is no longer correct, email us and we will update it. Always recalculate with your own member count, and check whether a price includes or excludes VAT, because an association usually cannot reclaim it.

Four kinds of package

They are all called "association software", but they are four different things. Once you know which corner you are searching in, half the list falls away.

All-in-one, bookkeeping included

Member administration and the full financial administration in the same system. You no longer need a separate bookkeeping package. Right when the treasurer is the one losing the most time.

Member administration without bookkeeping

Manages members, fees and communication, but you do the bookkeeping elsewhere. Add the cost of that second package or you are comparing apples with pears.

Sport-specific, through the federation

Tied into leagues, teams, match forms and the federation's member records. Essential if you play in a league, redundant if you do not.

Collection only

No member administration, but a collection partner that sends payment requests and reminders. Alongside one of the other packages, not instead of one.

Who for
Sports clubs playing in leagues. By their own account over 5,000 affiliated clubs, built around the systems of the sports federations.
Price
Not public. It runs through your sports federation, and what you pay depends on the arrangements the federation has made.

Strong

  • ✓ Leagues, match forms and team selection are baked in
  • ✓ Member records line up with the federation's, so no double entry
  • ✓ Club app and club website are part of it
  • ✓ Bookkeeping available through AFAS

Weak

  • ✕ You do not choose it; it comes with the federation
  • ✕ What it costs is stated nowhere, so you cannot compare
  • ✕ For an association that plays no league, most of it is redundant
  • ✕ Bookkeeping sits in a linked package, not in the same system

AllUnited

All-in-one, bookkeeping included
Who for
Sports clubs and larger associations. By their own account 2,500 affiliated organisations and partnerships with 35 sports federations.
Price
€1.04 to €2.09 per relation per year, across four packages (Starter, Admin, Manager, Connected). Whether a minimum applies is not stated; ask them.

Strong

  • ✓ Member administration, bookkeeping and invoicing in one system
  • ✓ Club app with a high user rating
  • ✓ Duty planner for volunteer rosters
  • ✓ Works with many sports federations

Weak

  • ✕ What it ends up costing cannot be calculated without contacting them
  • ✕ Designed for larger clubs; for a small association it is a lot
  • ✕ Priced per relation, so former members in your records can keep counting

Conscribo

All-in-one, bookkeeping included
Who for
Dutch associations of every kind. Made "for and by association board members", and it shows in the setup.
Price
Conscribo Lite €12.95 per month up to 250 members, Conscribo €21.95 per month up to 600 members and expandable. That is €155 and €263 per year. 21-day trial.

Strong

  • ✓ Member administration and full bookkeeping in the same system
  • ✓ Bank reconciliation, receipt scanning and VAT administration
  • ✓ Free telephone support
  • ✓ Sharply priced for what you get

Weak

  • ✕ The interface is functional but looks dated
  • ✕ No meaningful events module or webshop
  • ✕ Less focused on what members can arrange online themselves

e-Captain

All-in-one, bookkeeping included
Who for
Associations, foundations and staff associations, from sports clubs to patient organisations. Also suitable for organisations that rent out rooms.
Price
From €365 per year excluding VAT up to 300 active relations, then rising per block of 100 (300-400 relations €465, 400-500 €565). Inactive relations count at a lower rate.

Strong

  • ✓ Eight modules as standard, including bookkeeping, invoicing and website management
  • ✓ Rental module for a clubhouse or halls; rare in this market
  • ✓ The active/inactive distinction keeps the price in check
  • ✓ Separate member app available

Weak

  • ✕ The entry price is high for a small association; below a hundred members you pay a lot per member
  • ✕ Prices exclude VAT, so add 21%
  • ✕ Extra modules and the app cost separately

Congressus

All-in-one, bookkeeping included
Who for
Professional, study and student associations, trade bodies and car clubs. Organisations that often have a paid board or an association manager.
Price
Four packages from €71 to €166 per month, plus €0.10 per member, excluding VAT. At 150 members Start works out at about €86 per month, or €1,250 per year including VAT.

Strong

  • ✓ Website, member portal, webshop and ticketing as one whole
  • ✓ Strong communication side with email, SMS, blog and forum
  • ✓ Extensive configuration for complex association structures
  • ✓ No extra charge for archived members

Weak

  • ✕ By far the most expensive on this list; out of reach for an average association
  • ✕ The fixed monthly amount does not scale with your size, so small clubs pay relatively the most
  • ✕ Prices exclude VAT

LISA

Sport-specific, through the federation
Who for
Sports clubs, with the emphasis on hockey and tennis. Runs behind KNLTB Club and Lisa Hockey among others.
Price
Not public. Usually runs through the federation or on request.

Strong

  • ✓ Deeply integrated with tennis and hockey leagues
  • ✓ Familiar ground for board members coming from those sports
  • ✓ Dutch provider with its own support team

Weak

  • ✕ Outside hockey and tennis barely relevant
  • ✕ Price impossible to establish without a conversation
  • ✕ Little public information about what is actually included

ClubCollect

Collection only
Who for
Associations that want to outsource fee collection entirely, including chasing and payment plans.
Price
An amount per member per month, from about €0.14 on the Standard package, plus a fee per transaction. Member administration and member portal are separate modules. Excluding VAT.

Strong

  • ✓ Collection is their trade; email, SMS and letter, with payment plans
  • ✓ Takes the chasing off the board's plate entirely
  • ✓ Connects to most member administration systems

Weak

  • ✕ No bookkeeping, and member administration only as a separate module
  • ✕ Transaction fees add up with monthly or quarterly collection
  • ✕ It is an addition to your package, not a replacement

Stamhoofd

Member administration without bookkeeping
Who for
Associations doing a lot with registrations, tickets and webshops. Comes out of the Belgian youth movements and now serves the Netherlands too.
Price
€1 per unique member per year for member administration. Webshops and tickets cost 2% capped at €0.20 per item. Excluding VAT.

Strong

  • ✓ By far the cheapest for bare member administration
  • ✓ Ticket sales with door scanning and seating plans
  • ✓ Open source; the code is on GitHub
  • ✓ No service fee on free registrations

Weak

  • ✕ No bookkeeping, no bank reconciliation, no per-member invoicing
  • ✕ No audit committee review, budget or annual figures
  • ✕ Built around Belgian practice, not Dutch

Membrs

Member administration without bookkeeping
Who for
Associations with several branches or sections that want to keep member records central.
Price
€0.35 per active member per month, cancellable monthly. That is €4.20 per member per year; at 150 members about €630. 14-day trial.

Strong

  • ✓ Members maintain their own details
  • ✓ Access control with QR codes at events
  • ✓ Connects to your existing website
  • ✓ No long-term contract

Weak

  • ✕ Steep per member; at a hundred members already dearer than most all-in-one packages
  • ✕ No bookkeeping
  • ✕ Limited to member management, fees and mailing

Ledenboek

Our own package All-in-one, bookkeeping included
Who for
Dutch associations, foundations and owners' associations where the board does the work alongside a job. From ten members to a few thousand.
Price
A fixed amount per year by member count, from €99 up to 50 members to €449 up to 500 members, above that €0.60 per extra member. Everything included. If you collect through your own bank there are no transaction fees from us; through our Mollie link it is 2% of the amount paid. Thirty days free.

Strong

  • ✓ Member administration and bookkeeping in the same system, so a payment attaches to a member straight away
  • ✓ Bank reconciliation with MT940 and CAMT, expense claims, audit committee review with discharge and annual figures
  • ✓ One price for all features; you pay for size, never for extra modules
  • ✓ Email support from the person who built it

Weak

  • ✕ We are new and small; there are providers with twenty years more history
  • ✕ No league integration with sports federations, so for a club playing in a league it does not replace Sportlink or LISA
  • ✕ No tickets for non-members; at the door you scan only the member card
  • ✕ Eine Person am Telefon, außerhalb der Bürozeiten und im Urlaub können Sie also nicht anrufen

How to make a choice from this

  1. 1 First decide whether you play in a league. If so, the question is not which package but which package alongside your federation's.
  2. 2 Check whether bookkeeping has to be in it. Without bookkeeping a package looks cheaper, but then a second bill of €115 to €400 per year follows.
  3. 3 Calculate the price with your own member count, not with the figure on the homepage. Per member, per month and per year differ wildly.
  4. 4 Check whether the price includes or excludes VAT. An association usually cannot reclaim it, so that is 21%.
  5. 5 Try two of them with your real member list in it. Every package on this list has a trial or a demo.

If you cannot work it out, just email us. Even if the answer is that you are better off elsewhere; we would rather write that down now than have you stuck in three months.
