Who is this for

A dance school has no members but customers, no treasurer but someone in finance, and no membership fee but a subscription. Yet it does the same as an association: keeping customer records, assigning classes, invoicing and collecting every month.

Choose Business, school or rental when you sign up. Ledenboek then speaks of customers, subscriptions, management and organisation everywhere, including the customer portal and emails, and charges 21% VAT by default. All features stay the same, from class groups and direct debit to bookings and the web shop.

How it works

    Choose business when you sign up

    In the sign-up form you choose Business, school or rental. Already have an account? Switch the type under Settings; your data stays as it is.

    Roles for management, finance and administration

    You start with three roles: Management with all rights, Finance for invoices, payments and the bank, and Administration for customer records and groups. You can change names and rights yourself.

    Subscriptions with VAT

    A new product is set to 21% VAT. For something without VAT, such as exempt lessons, set it to 0% or 9% per product. The invoice shows VAT separately, and the books keep it on its own account.

    Let customers pay

    Invoices, iDEAL, direct debit and reminders work as they do for an association. Customers have their own portal for their details, invoices and classes.

What it does not do

  • •Ledenboek does not file your VAT return. VAT is kept on its own account in the books; you file the return in your accounting package or leave it to your accountant.
  • •It is not a point of sale. Walk-in sales at the desk do not go through Ledenboek; the web shop does.
  • •Parts such as the audit committee and the general meeting remain available. A business that does not use them switches them off under Settings.

Frequently asked questions

Can I switch between association and business later?

Yes, under Settings. The words change right away and your data stays the same. VAT is switched on for the organisation; products already at 0% stay that way.

Do my customers see the new words too?

Yes. The customer portal and the emails to your customers use the same words as the admin screens.

Can I charge no VAT for a lesson but VAT for a product?

Yes. VAT is set per product: 21%, 9% or 0%. An invoice with both calculates it per line.
